Operations Coordinator (EOS)

Cummings Properties is seeking an outgoing, quick-thinking multi-tasker to serve as Operations Coordinator at Cummings Executive Suites, a shared-workspace within the Cummings portfolio in Woburn.

As Operations Coordinator, you will work closely with a dynamic team to provide outstanding service for our clients, while assisting with the day-to-day management of two business centers, our virtual office program, and conference room offerings. The prime candidate will be a self-starter and be able to work autonomously. You will utilize excellent communication skills and leverage sound judgment to manage internal processes, solve problems, and build professional relationships. Your positive attitude will guide you as you attend to daily tasks, including:

  • Develop and maintain productive working relationships with vendors, field, staff, and administration to support efficient business operations
  • Assist in providing daily sales and marketing outreach, including posting on social media sites such as Craigslist or Facebook
  • Create and process accurate License Agreements for new and existing office and virtual clients
  • Plan and organize monthly networking and client appreciation events to occur during business hours
  • Crafting concise, effective communications, such as newsletters, internal memos, and client-facing outreach
  • Oversee and maintain general operations of the centers including supplies, furniture storage and refurbishment, and overall organization
  • Build and maintain strong client relationships
  • Primary point of contact for clients’ office and operation-related matters; liaise with building and other services for resolution
  • New client on-boarding, including office, phone and IT setup
  • Maintain vacant offices, including staging, to ensure they are move-in ready
  • Oversee client accounts, monthly billing, accounts receivable, and insurance compliance
  • Understanding, explaining, and troubleshooting IT operations
  • Taking ownership of problems and finding solutions

The preferred candidate will possess:

  • A degree in business administration, facility management, or a related field.
  • At least two years of relevant business experience. (Experience in a co-working environment is beneficial, but not required.)
  • Proficiency in Microsoft Office and data management software.
  • Proficiency with social media
